Why Send a Thank You Note or Letter?

Employers and professional contacts see the thank-you letter as an essential part of job search etiquette. Thank you notes are always appreciated by people who help you professionally. In a job search, a well-crafted thank-you note can give you an edge over a candidate with a similar background and skill set.

1st Paragraph: Tell why you are writing. If the note is after an interview, mention the date of the interview and the position for which you
interviewed.

2nd Paragraph: Mention something specific about your interview or relationship (something you found interesting, something you have in common with the interviewer, etc.). If the note is after an interview, use this paragraph to reiterate your interest in and qualifications for the position.

3rd Paragraph: Restate your thanks and say you're looking forward to hearing from the individual. Depending on the situation, you may want to provide a date and time that you will follow-up.

Your Thank You Letter Should…

  • Be sent within 24 hours of interviewing or meeting.
  • Be brief and genuine.
  • Be personalized. It should be addressed to a specific person and should contain specific details.
  • Be varied for every interviewer (even if they interviewed you together).
  • Be proofread and free from mistakes and misspellings (especially of people's names!).
  • Be printed on high-quality paper to match your resume or be handwritten on a simple note card, free of graphics or messages. You may also email a letter.

Who Gets a Thank-you Note

  • Interviewers after an interview (informational or otherwise).
  • References.
  • Interviewers after a decision (whether you are offered the job or rejected).
  • Networking contacts.
  • Anyone who has helped you with your job search or graduate school application.
